Placing orders

Orders can only be placed through our B2B webshop. Orders or adjustments via email cannot be processed. Once orders have been placed through our webshop, they can no longer be modified (i.e., adding or removing products). This is to prevent errors in order processing.

Payment terms

Orders can be paid for immediately when placed in the webshop. This can be done via credit card or PayPal. You may also choose to pay later, in which case we will issue the invoice at the time your order is shipped. The payment term is 14 days. For a first order, we work with a proforma invoice. This is sent after the order has been placed in the webshop. The payment term is 14 days. As soon as we receive payment, we will prepare your order for shipment.

Minimum order amount

The minimum order amount for a first order is 500 EUR (excl. VAT, handling & transport). From the second order onwards, this becomes 350 EUR. A first order must be paid in advance.

Annual commitment

Although we cannot guarantee absolute exclusivity per city or region, we require a minimum annual order amount of €750 from our active points of sale. In this way, we guarantee sufficient distance between different points of sale within the same region or city.

Handling fee

We work with a sheltered workshop in Drongen (Ghent) to assemble and ship our orders. We charge a handling fee of 10 EUR per order. Most companies include this in the production price; we have decided not to do so because we find it more transparent. This cost will therefore be listed separately on your invoice, along with the shipping costs.

Shipping lead time

The standard shipping lead time for our wholesale orders is a maximum of 5 working days. We ship both within and outside Europe. Any delay in delivery cannot give rise to compensation or dissolution of the agreement. The customer bears all costs and risks regarding the shipment from helen b to the desired destination.

Rates

The standard rates and shipping terms of the chosen carrier apply. Shipping costs depend on the destination, order volume, the number of boxes, and the weight. Orders intended for export can only be shipped via DHL. Currently, there is no free shipping for wholesale orders above a certain order amount. 

Outside the EU

We ship based on FCA Incoterms. helen b prepares the export declaration documents, for which a fixed fee of 80.30 EUR will be charged (incl. 1 HS code). For every additional HS code in the order, an extra cost of 8.80 EUR will be charged. Direct export orders outside the EU can only be shipped via DHL or by a carrier of your choice, provided the shipment is organized by the customer. Indirect export orders outside the EU can only be set up by the customer with a carrier of their choice, after helen b has prepared the documents for customs clearance. The customer is responsible for finalizing the export declaration within 150 days. 

Collection & own transport

Own transport for your order can be arranged, or collection can be provided in Drongen (Ghent) upon request. Please indicate this when placing your order.
